Privacy policy

1. Who we are
Parent HQ (“Parent HQ,” “we,” “us”) is a parenting education and coaching business operated by Cheyenne Lofthouse-Wolf, LCSW, and reachable at cheyenne@parenthqcommandcenter.com. This policy explains how we handle personal information collected through parenthqcommandcenter.com and related services (the “Site”).
2. Information we collect
- Information you give us. Name, email address, phone number, the ages of your children, and the details you choose to write in intake, application, contact, and waitlist forms.
- Account information. If you create an account, your email address, display name, sign-in method, and membership status.
- Content you post. Messages you publish in community areas such as the Break Room chat.
- Payment information. Memberships are processed by Stripe. Stripe receives your card details directly; we never see or store full card numbers. We receive only limited details such as your name, email, subscription status, and the last four digits of your card.
- Technical information. IP address, browser and device type, pages viewed, and similar log data collected automatically when you use the Site.
3. How we use information
- To provide, operate, and improve the Site, memberships, and coaching services.
- To respond to your applications, questions, and support requests.
- To process payments, manage subscriptions, and prevent fraud.
- To send you emails you asked for — session details, membership notices, and, if you opted in, our newsletter. Every marketing email includes an unsubscribe link.
- To keep the Site secure and to comply with legal obligations.
We do not sell or rent your personal information, and we do not share it for cross-context behavioral advertising.
4. Legal bases (for EEA/UK users)
Where the GDPR or UK GDPR applies, we process personal data on the basis of contract performance (delivering services you purchase), consent (marketing email), legitimate interests (securing and improving the Site), and legal obligation (records and tax).
5. Who we share information with
We share information only with service providers who help us run Parent HQ, under contracts limiting their use of it: our hosting and database provider, our email delivery provider, and Stripe for payments. We may also disclose information if required by law, to protect someone’s safety, or in connection with a business transfer.
6. Clinical confidentiality is separate
Parenting education and coaching delivered through the Site are not psychotherapy, mental health treatment, diagnosis, or medical care and do not create a therapist–client or clinician–patient relationship. Information you submit through the Site is not protected health information under HIPAA and is not a clinical record. We encourage every family to meet with an appropriate licensed professional — such as a pediatrician, therapist, psychologist, psychiatrist, or school counselor — alongside any coaching services.
If you enter a separate clinical or therapeutic relationship, that relationship has its own written consent and confidentiality terms.
As a licensed clinical social worker, Cheyenne Lofthouse-Wolf is also a mandated reporter. If information you share indicates abuse or neglect of a child, elder, or dependent adult, or a serious risk of harm to yourself or another person, we may be legally required to report it to the appropriate authorities.
7. Children’s privacy
The Site is intended for parents and caregivers aged 18 and over. We do not knowingly collect personal information directly from children under 13. Parents may choose to describe their child’s behavior to us; please share only what is necessary. If you believe a child has given us information directly, email cheyenne@parenthqcommandcenter.com and we will delete it.
8. Cookies
We use cookies and similar local storage that are strictly necessary to keep you signed in and to remember your preferences. You can clear or block cookies in your browser, though parts of the Site may stop working.
9. How long we keep information
We keep account and membership records for as long as your account is active and for up to seven years afterward where needed for tax, accounting, or legal purposes. Form submissions and community posts are kept until you ask us to delete them or they are no longer needed.
10. Your choices and rights
Depending on where you live, you may have the right to access, correct, delete, or receive a copy of your personal information, to withdraw consent, to opt out of the sale or sharing of personal information (we do neither), and to be free from discrimination for exercising these rights. To make a request, email cheyenne@parenthqcommandcenter.com. We will verify your request and respond within the time required by law, generally 45 days. You may also unsubscribe from marketing email at any time using the link in any message.
11. Security
We use encrypted connections, access controls, and reputable providers to protect your information. No system is perfectly secure, so please do not send sensitive clinical or financial details through community areas of the Site.
12. International transfers
We operate in the United States and our providers may process data there. Where required, transfers rely on appropriate safeguards such as standard contractual clauses.
13. Changes to this policy
If we make material changes we will update the effective date above and, where appropriate, notify account holders by email. Continuing to use the Site after a change means you accept the updated policy.
